Round Up

The 2012 Carrying the Message to All Round Up Subcommittee is meeting. The E&P Subcommittee meets on Wednesday's at 7 PM at Tony H's apartment.

Listed below are some of the service positions available (have an asterisk next to them).

E&P Chair (assisted by a co-chair) oversees the entire Round Up; coordinates the work of subcommittee; to be kept informed on the progress of all the arrangements; determines the frequency, time and place when the subcommittee meetings are to be held. Tony H.

Co-Chair will the assist the chair and when the chair is not present conduct the subcommittee meetings. Jeff H.

*Secretary keeps all written records, including minutes of the subcommittee meetings; also sends out notices of subcommittee meetings and other mailings to subcommittee members.

Treasurer is, of course, responsible for all money, including revenues from registration (banquet tickets, etc.); pays all bills; usually advises the chair on cash supply and income flow as well as rate of expenditures. Will be either the Chair or Treasurer of SDCI.  Provide periodic financial reports to the E&P Chair and subcommittee members. Will be the custodian of the financial records and be audited by the S&F Subcommittee as further safeguard of the Round Up funds. Ensures that any funds from on-line registration are deposited and processed to cover the Round Up event expenses. D.A. B.

*Program/Workshop Coordinator will work with the subcommittee to determine the programs and workshops at the Round Up.

*Registration Coordinator will the head registrar for the Round Up event and work with the Treasurer in matter of receiving and process payment.

*Public Information Coordinator has the sensitive task of encouraging a large attendance without abandoning C.M.A.’s principle of “attraction rather than promotion.” Publicity efforts can be kept within the dignity and spirit of C.M.A. through the following means:

a. Preparation and distribution of material about the program, speakers, and time and location of the Round Up (perhaps including map of area, if necessary. The Round Up publicity material could also be sent to the press, radio, and TV outlets in the immediate area, (The Public Information Workbook, available from G.S.O., gives useful advice on approaching the media.) If media or the general public are invited be sure to attend to the details of how they will be greeted and if special meetings or contacts will be set up for them.

b. Ensure that the flyers about the round Up are usually given to all groups in the local area, with the first flyer being sent out about six months before the Round Up date.

c. Provides the dates and location of the Round Up, with a mailing or website address for information or registration, should be sent (three months in advance).

*Entertainment Coordinator will arrange for the Round Up dance, floor show, or other event if there is one.

*Hospitality Coordinator serves as Round Up host, organizing volunteer that will greet out-of-town guests, arrange transportation for them when necessary, and see to any other needs they might have while attending the Round Up.

*Archives, Display, and Literature Coordinator is responsible for displays and posters and for having C.M.A. literature available for all. G.S.O. provides a literature display to all conferences and Round Up.

*Taping Coordinator is responsible for ensuring that there is an individual or company who will be taping the Round Up. That individual will be directly responsible to the E&P Chair.
